Break Down of Wedding Costs

A Guide to Picking Local Professionals and Preferred Vendors

Lisa Marshall Photography

Planning a wedding often starts with the question of overall cost, but breaking it down into individual vendor categories can quickly become overwhelming. In this blog, we’re sharing average wedding costs across key areas to help couples better understand what typically goes into a celebration.

Our intent is to provide helpful context so couples can see how costs are often distributed when booking vendors separately, while also highlighting the value of choosing an all-inclusive venue such as Up the Creek Farms. With bundled services and streamlined planning, couples can enjoy a more simplified experience, reduced stress, and still maintain meaningful customization without the complexity of managing multiple vendors on their own. Venue: Estimated Cost: $8000-$15000

The venue is often one of the biggest decisions you’ll make during the wedding planning process, as well as one of the largest expenses. It sets the tone for your entire day and can impact everything from your guest list to your décor style. When it comes to venue costs, it’s important to look beyond just the rental fee and consider what is included. For example, Up the Creek Farms is an all-inclusive venue covering the venue spaces, planning, catering, dessert, entertainment, and decor, while other venues may be more bare bones. Be sure to ask for a detailed breakdown so you know exactly what’s covered and where you might need to supplement.

Rentals: Estimated Cost: $7500

To host a wedding you want to first consider your rental items for the ceremony including guest seating.  And keep in mind any décor you may want to incorporate (arbor, aisle décor, sign-in table, etc.) For your reception, tables, chairs, and linens for your guests.  Other out of pocket expenses may include: Tent $2000+, Lighting $2000+, Restroom trailer $1800+, Temperature Control $3500+

Décor including arbors, draping, farm tables, accent decor and lounge sets are great ways to add personal touches. And Crystal & Crates has great pieces we can incorporate into your design through our exclusive partnership. Up the Creek Farms All Inclusive Package has many of these specialty decor items through Crystal & Crates included.

Month of Wedding Planner: Estimated Cost: $1500-2000

A month-of coordinator ensures all the moving pieces come together smoothly so the couple, family, and wedding party can actually enjoy the day instead of managing it themselves.

Up the Creek Farms is unique in providing a month of wedding coordinator within all of our packages.  This is an industry professional with expertise in handling the logistics of weddings including creating a timeline, coordinating vendors and contracts, problem-solving, and ultimately making sure your wedding day is stress-free.

Full-Service Wedding Planner: Estimated Cost: $4500-6500

With full-service planning, your planner is involved throughout the entire journey — helping shape the vision, guide decisions, and proactively prevent issues before they happen. Think of a full-service planner as your wedding project manager, creative partner, and problem solver all in one. They are deeply involved in every detail and decision, helping reduce stress while keeping everything organized and cohesive.

Up the Creek Farms includes not only month of coordination but also full service planning within our All Inclusive Package.  First, an introduction with your wedding planning team will be made 8+ months out from your date. We arrange and attend meetings with your inclusive vendors as well as ensure your wedding vision is realized.  We work with you to iron out the tricky timeline logistics and recommend any important or specialty vendors you may be interested in. Our goal is to make your wedding planning experience stress free from the day you book to the day you wed!

Floral: Estimated Cost: $3000-$6500, average $4500

Depending on your tastes and preferences, flowers vary in price.  We’ve found on average clients spend $4000 on flowers. They’re usually incorporated into your ceremony site, personal flowers, centerpieces, and little extras to add finishing touches to design elements.

Within our All Inclusive Package, we have a $1,500 starting credit for florals & design. Your wedding guest count, bridal party size, and how important flowers are in your overall budget will determine your total spend in this category.

Invitations: Estimated Cost: $6-12 per invitation

A great area to add your personal style!  A traditional wedding invitation includes the invitation, rsvp card and envelope, and outside envelope.  Accommodation and directions cards are great for additional information for guests. Keep in mind, you don’t need one invitation per guest, these will be sent by household!

While invitations are not included in our packages, Up the Creek Farms has established a great relationship with local stationers with curated designs specifically for Up the Creek couples. We also provide our couples with a complimentary discount for ordering stationary through Minted.com.

Catering: Estimated Cost: $70-150+ per person, depending on the menu

Wedding catering costs go far beyond the price per plate. Understanding all the components — from staffing and rentals to bar service and guest count — helps couples build a realistic budget and make informed decisions throughout the planning process.

Our all-inclusive catering package is designed to create a seamless and elevated dining experience from start to finish. The package includes full catering and professional service staff, China, glassware, and silverware, along with three butler-passed appetizers during cocktail hour. Dinner is served station-style and includes a fresh salad course, bread rolls, two entrée selections, and two accompaniments, allowing guests to enjoy a well-rounded and thoughtfully curated meal experience. Upgrades are available to elevate your culinary experience from late night snacks to action stations.

Cake: Estimated Cost: $500-1500+

Wedding cakes and desserts are both a visual centerpiece and a memorable part of the guest experience, often reflecting the couple’s style through flavors, textures, and design details. From elegant tiered cakes to modern dessert displays, couples can customize this portion of the celebration to feel as simple or elaborate as they’d like.

Our package includes a beautifully finished tiered buttercream wedding cake as part of the overall experience. Couples also have the option to customize their dessert presentation by choosing a smaller cutting cake paired with cupcakes or mini desserts for an additional fee, creating a more personalized and interactive dessert experience for guests.

With an all inclusive venue such as Up the Creek Farms additional costs such as delivery fees, setup, cake stand rentals, cutting fees, and service needs are already factored in to the overall price.

DJ: Estimated Cost: $1400-2500

Entertainment is one of the most important parts of creating an unforgettable wedding experience, and having a professional DJ can make all the difference in keeping the energy flowing throughout the day. A reputable DJ not only provides sound equipment and music, but also serves as the emcee for the event, helping guide guests smoothly through each part of the celebration.

It’s important to consider sound coverage for each portion of the wedding day. During the ceremony, proper microphones and audio equipment ensure your guests can clearly hear your vows and officiant. For cocktail hour, continuous music creates a seamless transition and maintains a welcoming atmosphere while guests mingle. During the reception, a professional DJ manages formalities, provides dance floor lighting, operates a larger sound system, and understands the intricacies and timing of weddings — all while knowing how to bring a dance floor to life and keep guests engaged throughout the night.

All of these elements are included in our Classic package and fully customized to each couple’s personal taste, preferred music style, and overall wedding vibe.

For couples looking for a different entertainment style, live musicians and bands are also wonderful additions that can add a unique atmosphere and elevated guest experience throughout the wedding day, whether for the ceremony, cocktail hour, or reception. Cost of these services vary.

Photographer and Videographer: Estimated Cost: $3500-8500 per vendor

Photography and videography are some of the most meaningful investments couples make for their wedding day, as they preserve the moments, emotions, and details that will be remembered for years to come. Pricing can vary greatly depending on coverage hours, number of photographers or videographers, editing style, experience level, albums, drone footage, and additional services, making it important for couples to prioritize this portion of their budget based on the style and experience they value most.

While many services within our all-inclusive package can be customized to fit each couple’s preferences, we intentionally exclude photography and videography because we believe these services are deeply personal art forms. Every photographer and videographer has a unique creative style, editing approach, and storytelling perspective that does not necessarily change from client to client in the same way a caterer, DJ, or rental package can be tailored. We want couples to have the freedom to choose artists whose work genuinely reflects their personal vision and aesthetic for their wedding day memories.
